Standard Operating Procedure

RT Web Portal

Lead Data arrives at the portal from the landing page or Rocket Referral App where the lead can be contacted, status updated, and scheduled for screening.

RT Portal Access

We implement User ID and Password access to all users including RT Staff/ Account Managers and Client Staff/ Physicians / Study Team. User access can be managed and updated at anytime from the “user” tab by an admin.

HIPAA Compliance

Our systems and web portal fully comply with all HIPAA requirements.

Rocket Referral App

RT App Access

We implement User ID and Password access to all users. Any Client Staff/ Physicians / Study Team will be issued a unique PIN before the start of a campaign. User access can be managed and updated at anytime from the “user” tab in the web portal by an admin. 

Referral Process

App Users, such as medical professionals and physicians, can refer a patient into the study by filling out the study referral form in the app.

• Only Patient's Name, Email and Phone are captured within the app (never any personal or diagnostic information)

Data Storage/ Availability

Confidential patient data is never stored locally on the app. Instead all data submitted will be transferred to the Rocket Trials Portal.

• Each user may only access stripped down identification data (initials) for their referrals.

Retention and Destruction of Protected Health Information

Purpose

Protected health information in any form must be securely maintained, controlled and protected to prevent unauthorized access or disclosure. The purpose of this policy is to ensure that all records containing protected health information are retained and disposed of in accordance with the guidelines set forth by federal and state regulations.

Policy Statement

Rocket Trials, LLC retains documentation related to HIPAA compliance to the extent required by law. Such documentation shall be retained for the longer of the following:

a. Six years from the date of its creation or the date when it last was in effect, whichever is later;

b. Destruction/disposal of records will be carried out in accordance with Rocket Trials, LLC policies and procedures, HIPAA regulations and federal and state laws.
